Last Updated: February 18, 2026
GenRev Productions, LLC (“we,” “our,” or “us”) is committed to ethical, legal, and professional standards in all audio, video, and photography projects. This Model & Location Release Policy explains when releases are required, how they are handled, and how we store and protect signed documents.
- When Releases Are Required
- Model Releases
A signed Model Release is generally required when:
- A person’s face, likeness, voice, or identifiable features appear in a production, with the exception of non-subject people in public domains
- The content will be used for marketing, promotional, commercial, or public distribution
- The individual is recognizable, even if not the primary subject
- The project involves interviews, testimonials, or on‑camera participation
A release may not be required for:
- Large public events where individuals are not the focus, although public locations are free domain and some people or assets may be inadvertently captured
- Non‑identifiable background subjects in non-public settings
- Editorial or documentary‑style coverage (case‑by‑case basis)
When in doubt, we obtain a release to protect both the client and our company.
- Location Releases
A Location Release is generally required when:
- Filming occurs on private property
- A business, organization, or residence is featured
- The location’s branding, signage, or interior is visible
- The property owner’s permission is needed for commercial use
Public spaces may still require permits depending on local regulations.

We take special care when working with individuals under the age of 18.
- Parental/Guardian Consent
A Minor Model Release must be signed by:
- A parent
- A legal guardian
- An authorized representative (e.g., school official) when applicable
Minors cannot legally sign their own release, and we make reasonable efforts to ensure proper authority for those signing for a minor.
- Additional Safeguards

- We follow all applicable child protection and privacy laws
- We avoid capturing identifying information without consent
- A parent/guardian is present during filming unless otherwise agreed
- We do not use minor footage for promotional purposes without explicit written approval
- How Releases Are Collected
We may collect releases through:
- Digital signature platforms
- Paper forms signed on‑site
- Client‑provided releases (subject to review)
All releases must be completed before filming begins unless otherwise approved.
- How Signed Releases Are Stored
GenRev Productions securely stores all signed releases using:
- Encrypted digital storage
- Restricted access controls
- Organized project‑based filing
- Long‑term archival retention for legal protection
We retain releases for as long as the associated content is in use or as required by law.
Releases are never sold, shared, or disclosed except:
- To the client for project documentation
- When required by law or legal process
- To verify usage rights for distribution partners (e.g., broadcasters, agencies)
- Client Responsibilities
Clients agree to:
- Inform participants that filming or photography will occur
- Obtain any necessary internal approvals (e.g., from HR, legal, or leadership)
- Ensure that individuals required to sign releases do so before production begins
- Provide accurate information about minors or restricted locations
If a client fails to secure required permissions, GenRev Productions may delay or cancel filming, and time/costs incurred will be charged to the client.
- Use of Footage Without a Release
If a required release cannot be obtained:
- The individual or location may be blurred, muted, or removed
- The footage may be excluded from final deliverables
- Additional editing fees may apply
- GenRev Productions may decline to use the footage entirely
We reserve the right to refuse use of any content that poses legal or ethical concerns.
